There are certain types of time entries (usually whole days) where an employee does not work and you do not want the capacity to be included for these days. These days include leave days, such as annual leave.
Generally, reducing capacity is handled by configuring capacity settings, as explained in this article here. In addition to configuring capacity, you have the option to set up categories to automatically reduce capacity if time is assigned against them.
For example, if you code a time entry for 7.5 hours to an internal time category e.g. "Leave - Annual Leave" and, if the category is set to "Exclude from Capacity", the time entry will reduce capacity automatically.
To configure the category to be excluded from the capacity calculations:
- Navigate to Time category maintenance

- Locate the "Annual Leave" category
- Tick "Exclude from Capacity"
- Click "Save Changes"
When you enter a time entry and set the category to "Leave - Annual Leave" the software will now automatically reduce the total capacity for that time:

- This change will affect
- the Time Detail Summary (Review posted time vs capacity feature)
- the Time Detail Capacity feature
- Some internal time is naturally considered within the normal days work, if you mark all Internal time categories to reduce your capacity then this will distort the expected figures.
Example: Capacity vs Posted Time Review
The following shows the Capacity vs Posted Time Review for a normal month. Capacity shows as grey next to the posted hours.
Enter 7.5 hours for annual leave for the 6/9 and the 7/9, as per the example below:
The Capacity vs Posted time will appear as follows:
Note
- The two days above now show a blank capacity.

The same capacity is reflected in the Time Review > Productivity view:
