To add a file note:
- From the toolbar select "Add or Import Data" > "Add File Note"
The file note form appears. - Enter the file note details
Complete the
- Create In (Category)
The category will default to "File Notes", but you may edit the category. - Author
- Subject and
- Detail
- Create In (Category)
- Save the file note
To save the file note, click the "Disk" toolbar item.
The file note is now saved.
File notes can be added from the menu of any transaction, creditor, asset, bank reconciliations, or tasks by selecting New File Note from the toolbar.
The Document toolbar is displayed:

Configure templates
It is also possible to configure templates for your file notes, this is available from the templates menu.
Attaching a file to a file note
You can do a drag and drop the file into the file note, it should create a shortcut. The file will remain where it is currently saved and the file note will have a shortcut to the document. But if the document is moved to another folder the shortcut will no longer work.
Saving a file note as a PDF
To output the file note,
- Open the File note
- From the "File" menu, select "Print"
The print output form displays. - From the Export Options, choose "PDF"
- Click "Export"
The Save file dialogue displays. - Select the file name and click "Save" to save the file.
Printing a list of file notes
To output a listing of all file notes:
From "Reports & Forms > Document Reports" menu select the "Document Listing" report.
The file notes appear in the documents report.
Searching for a file note
You can search the jobs document management folder for all file notes.
- In the document search box, select the "File Notes" document type.
- click "Search Now"
The file notes appear in the documents list.
Formatting a File Note for Bullet Points
There is a keyboard shortcut for entering bullet points. If you type in the bullets points, then highlight them and press CTRL+SHIFT+L, they will be converted to as shown below.

You can further make Sub bullet points of a bullet point by using the Increase Indent button for the sub-bullets as shown below
I cannot see my file note in the file note folder under File Explorer?
File notes are stored in the database not in the filesystem (as viewed via File explorer) so can only be viewed and/or accessed via Insol6. If you want to keep a record of the file note at a particular time you will need to save the file note as a pdf (see above for how to save file note as pdf) in the file note folder in file explorer. Then scan the folder in insol6 so the pdf appears as saved under the File Notes category, or wherever you originally saved the file note.
