New options have been made available to Merge Templates and Letterpacks to set the default document production options when preparing a Combined mailmerge.
Merge Templates
Two new options have been added. These are Create hard copy for all recipients and Never create a hard copy of this document.
If Never Create Hard Copy is ticked on the template, then a hard copy of that template will not be created and it will only go to electronic recipients. This is useful for email headers.
If the Create Hard Copy for All Recipients option is ticked on the template as shown below
Then when you prepare a combined mailmerge to Electronic and Hard Copy recipients, a Hard Copy of the document will also be prepared to the electronic recipients. the Document Production Wizard will default as shown below.
Combining Documents
If all the documents are word documents and you want to combine them into one document you can tick 'Combine Word Documents'.
If you have other document types, eg PDFs, you want to combine with word documents you must also tick 'Insert Other Files into Main Document'.
Letterpacks
The above settings are also available on letterpacks and set the default document production wizard defaults in a similar way.
Letterpacks also have 2 additional options. These are Combine all Word documents to a single Word document and Combine other documents into main document as shown here.
If Combine all Word Documents to a single Word document is ticked, then each merge template included in that letterpack will be merged into a single Word file, instead of having a separate file for each document.
This is useful where the document in the letterpack all use the same Document Styles (headers/footers etc). If the documents in the letterpack use different styles, then you can output them as separate documents.
If Combine other documents into the main document is also ticked, then any PDF's, excel files or other document types contained in the letterpack will be embedded into the Word document. If you do not tick this option, then other file types will be created as separate files. Note you cannot tick this option without ticking combine all word documents to single word document.
